#18329 — Documents are by default stored in OneDrive

SubjectDocuments are by default stored in OneDrive
Message-ID<m5kkrcFfi1qU1@mid.individual.net>
Hi all,

An acquaintance of mine has a laptop with Windows 11 Home. It used to be
Windows 10 Home but the laptop has been updated.
The problem now is that when a document is created and saved, it is
saved to OneDrive by default, and not to the SSD of the laptop. I looked
at the settings, and it said that files are saved to the SSD of the
laptop by default. This is not the case.
I want the files to be saved to the SSD by default. But how do I do that?

Many thanks in advance for your help.
With best regards,
Fokke Nauta

It depends on which App you are talking about but in Microsoft Office
you can go to options and make sure the documents are saved in a
different location. Microsoft has made it very difficult for people by
changing the rules.

You also need to disable Microsoft Backup as shown in this image:

Hope this helps.

I use File history in Windows 10 to back up my files, but knowing the
future I was interesting in how to back up to a external drive in Window
11. This is what I found

"Method 1: File History

This method is suitable for backing up your files, libraries, and
settings. It doesn't create a full system image, but it's a good option
for regular file backups.

1. Connect your external hard drive.
2. Open Settings: Press Windows key + I.
3. Go to System > Storage > Advanced storage settings > Backup options.
4. Click "Add a drive" under "Back up with File History" and select your
external drive.
5. Turn on "Automatically back up my files." "

It wasn't about a backup of the files. It was about storing the files on
the local SSD.

OneDrive needs a settings change. It's hovering and doing what it's been
told to do.
Either change the setting or remove OneDrive.

1. Unlink OneDrive from your PC:

Open OneDrive settings: Click the OneDrive cloud icon in the system
tray, then click the "Help and Settings" icon, and select "Settings".
Go to the Account tab: Click on the "Account" tab.
Unlink this PC: Click on "Unlink this PC" and follow the prompts.

It's not an option to remove OneDrive. It's used as a backup. But we
want to store the files on the laptop.

If you implement the auto backup feature the true locations of folders
such as Documents are moved into the OneDrive folder without telling
you. Hence the problem.

The way round this is to create a folder of your choice somewhere else
on the SSD and tell each program to save files there. However, they will
not then be automatically backed up to OneDrive.

I avoid all such problems on my Win 10 or 11 PCs by simply not using
OneDrive and its app. No need to uninstall anything.

Thanks. This will solve it.
I don't use OneDrive either, but my client wants it.

The correct way to achieve your client intent.
1. Logon to OneDrive in Windows 11, rt click icon on task bar and select
Settings.
(Look on the left hand side navigation pane options - Sync and Backup,
Account, Notifications, About)
=> Sync and Backup>Manage Backup> Toggle off all folders
This setting is for files that automatically upload to OneDrive when
OneDrive is logged on
=> Sync and Backup>Toggle off the other 4 items(Photos-Videos, Screen
Shots, Pause sync battery saver mode, Pause synce metered)

=> Account>Choose folders that Windows and OneDrive app will pull down
to the device. Choose whatever is desired - one, more or none.
This setting is for files that are downloaded to the local OneDrive
folder on the pc(i.e. synced from the web to the device, and only in that
direction)

=> Notifications> Choose one, more, or none

2. In Windows 11, Settings>Apps/Startup/OneDrive - toggle off

3. While OneDrive is logged on, rt click icon, choose Settings, then Quit
OneDrive

4. If Office is in use, configure its own settings to save files locally
  e.g. Excel/File(on ribbon menu)/Options/Save => Save to Computer by
default, change or accept the default location.

Follow the steps in the exact sequence provided above(1 through 4)

Whenever the customer 'wants' OneDrive, it can be opened via the Windows
11 OneDrive app and configure/reconfigure to the customer's preference.
  - i.e. as support, both you and the customer should review and
understand the customer's purpose and intent for wanting and using OneDrive.

Good Luck.

Thank you for a perfect demo of why OneDrive is best ignored unless you
are content to leave everything in Microsoft's hands by accepting all
defaults and moving your storage to its cloud.

Forums have years of posts by users who belatedly rebelled and 'lost'
their work thanks to the unintelligible OneDrive settings and instructions.

Not a reason to ignore it. The correct method on how to control and use
it for one's own need. OneDrive never(now or in the past) puts
'everything' in the MSFT account's OneDrive web UI.

Just like Windows, it's incumbent upon everyone to learn or configure or
not use Windows.
  - Forum posts on OneDrive should be scrutinized. with extra effort,
especially the date written - anything older than a year or two, for the
most part should be considered as outdated and possibly no longer
applicable or incorrect.
   - the only way to understand OneDrive is to open the app and
understand the four main settings(Sync, Account, Notification, About)options.

For those using OneDrive that also have spare storage(SSD, HD, SDXC
memory card) on devices where storage space is concern - after
configuring OneDrive's Settings options, navigate back to
Settings/Accounts, choose the option to 'Unlink this pc', once done,
reopen the OneDrive app and change the default folder/file storage
location(from its default C: drive) to user pre-created folder on the
spare storage destination.

In MS Office you're talking about?
I may be mistaken, but I thought I read that the
free MSO 365 was not going to allow saving files
locally, making it a fully online service. (Well, except
for the fact that it's installed locally!)

Where did you read this crap? Please provide a link for that so that
they can be forced to make a correction before spreading fake
information. This will all be done by Microsoft lawyers but some
evidence is required before any action can be taken. Have you taken the
trouble to try it out yourself before amplifying the fake story
yourself. You should lean not to trust everything you read from
click-bait web sites.

All online documents can be downloaded and saved on your machine. You
can also delete the copy from anywhere saved on Microsoft servers. There
are no restrictions.

Microsoft is celebrating 50th anniversary since incorporation and
anybody who is 50 years old should be able to do a reasonably good job.

Actually it was more a question. I said I wasn't sure. But since
the only response I got was rabid hysteria from an MS shill,
I decided to check it out.

This may be what I was thinking of:

https://answers.microsoft.com/en-us/msoffice/forum/all/can-i-save-my-word-or-excel-document-to-my/edeb7eec-8448-4e1d-9383-6347e1db64a0

"Here is the challenge with the Office 365 free web, it works with
onedrive only. So if you want to work on the file, the file has to be in
the onedrive folder on your device and in the cloud. If you move the
file out of the synced onedrive folder on your device, it will be
deleted in the cloud."

So apparently the files are only saved in the OneDrive
folder locally, and online, and if they're moved from the
folder they'll be deleted online. Not an intuitive approach,
to be charitable.

When Adobe went rental, the default save was online in
their special format. People in the photo newsgroup were
saying that if someone cancelled their subscription without
knowing enough to save their work out separately in common
formats would lose their work.

This sounds similar. People can apparently copy out from
OneDrive if they know to do that, but the files are
not entirely under their control, as MS are trying to present
their online office as being truly online. One more step toward
kiosk rental Windows.

When the help files are this bad, you know the OneDrive implementation
was a mistake in the first place.

# Basic "Unlink" and "Uninstall" instructions. Does not mention User Shell Folders detail.

https://support.microsoft.com/en-us/office/turn-off-disable-or-uninstall-onedrive-f32a17ce-3336-40fe-9c38-6efb09f944b0

# Perhaps your acquaintance has this messy dialog. It's referred to as an "experience", "like a hay ride".

https://support.microsoft.com/en-us/office/customize-the-save-experience-in-office-786200a7-f5f2-4d26-a3ae-b78c60dd5d3b

*******

If you weren't using Backup or did not want Backup, this might have most of the answers.

https://www.geeksinphoenix.com/blog/post/2024/04/01/what-you-can-do-if-you-do-not-want-to-use-onedrive

   HKEY_CURRENT_USER\Software\Microsoft\Windows\CurrentVersion\Explorer\User Shell Folders

A folder will be created with those definitions, if it does not currently exist.

   [Picture]

    https://i.postimg.cc/rp9y5Gxc/User-Shell-Folders-Versus-One-Drive.gif

But those can also be changed by using Properties on the canonical folder and change
where it points. There is a button to "Reset Default" for a folder.

So the problem is, one level of change, is to "do something to Onedrive",
but the other level is what the User Shell Folders are set to. The User Shell Folders
are consulted by a program, so the program knows where to go. And once OneDrive
has messed that up, if you uninstall OneDrive, the messed up "suggestions"
in HKCU also need to be corrected. Otherwise you get the complaint I've seen, where
OneDrive directories keep getting created. That makes the difference between
the normal Documents location and the Onedrive\Documents new location.

I think when I removed OneDrive application, I had to use some of this material.
Just a suspicion. I expect the OneDrive folder would keep getting created if
the User Shell Folders were not flushed clean.

cd %userprofile% [ I might have been here at the time... OneDrive folder below this.]
Problem: fsutil reparsepoint query OneDrive # This showed the data, and
fsutil reparsepoint delete OneDrive # this doesn't work, mentions "cloud file".
rd /s OneDrive # This command worked. Tested as Admin. But I could do this
                                                # because I wasn't enrolled in OneDrive and the
                                                # structure was still clean (no Backups)

*******

Another thing we can look at, is OneDrive cache policy. OneDrive removes infrequently used
items and keeps the only copy in the Cloud.

This bullshit shows how much effort would be required to "dehydrate"
the user profile folders. It implies that if this material is
not set up, then the OneDrive sync does not remove the file
on the SSD. Maybe the file is put in OneDrive\Documents but stays there,
unless Storage Sense is engaged by low-disk-storage threshold (10% left).

In the OneDrive client on your computer, there is no "Files on demand"
option you can disable?

If you visit your synched OneDrive folder(s) in Explorer, there is an
option under the right-click menu "Always keep on this device".
