Does anyone know of either:

1- a program to show all the Mac Mail Rules in a report, or

2- a program to export all the Mac Mail Rules in spreadsheet format,
that will allow importing into an Excel spreadsheet?

The rules are found in a plist file (in xml1 format, not binary on my
computer) named "MessageRules.plist" found in the "MailData" folder
inside the "V2" folder, inside the "Mail" folder, inside the "Library"
folder of your home folder. And there are other files in there that are
a part of the whole system, such as "RulesActiveState.plist"

So have a look at "~/Library/Mail/V2/Maildata/"

You can certainly write a short AppleScript script to do it. Which
rule properties (columns) would you want in the spreadsheet?

This is rough, but will give you an idea of what I'm talking about.
Open this script in Script Editor and then run it, and you will end up
with a CSV file with the properties of each rule:

<http://jollyroger.kicks-ass.org/software/Export%20Mail%20Rules.zip>

Here's the source:

-- begin script

property rDisabledLabel : "disabled"
property rAllConditionsOnLabel : "match all"
property rAllConditionsOffLabel : "match some"
property rDeleteOnLabel : "delete"
property rDeleteOffLabel : "do not delete"
property rFlagOnLabel : "flag"
property rFlagOffLabel : "none"
property rMarkReadOnLabel : "mark"
property rMarkReadOffLabel : "do not mark"

-- ask user to specify destination file

set destFile to choose file name with prompt "Export Mail rules to

It worked very well.
A heroic attempt must have taken a few hours.
I was able to open it in Excel and sort on "name", which in my case
corresponded to Mailbox 98% of the time.
I had many instances of rules like:

Name: Travel
If any of the following:
   From contained Vacations For All
   From contained Caribbean
   From contained Cruise Critic
Then Move to Mailbox Travel

I don't think the script picked up all the conditions properly, but
just the sorting enabled me to consolidate my rules into one per
resulting mailbox.

Thank you very much for your help.

Like I said the script is rough, and could be added to and improved. It
could be modified to output rule conditions, but how would you present
that in a tabular format?

I may be looking at this with a brain limited to the reason I use rules
(to move mail messages into mailboxes), but this may be the beginnings
of an answer to your "tabular" question:

To illustrate the question: Take an empty spread sheet, and create named
columns for each of the rule properties you want to track. Now fill in a
row with sample data from one of your existing rules. Now do it again
for a different rule with a different set of conditions (preferably with
a different *number* of conditions). So you have a spreadsheet with a
set number of named columns, but you have rules with any number of
conditions. The best way to lay that out is unclear.

I think I owe you an apology. I actually constructed such a table, a
2D matrix,
with the first row column headings
1-Name,2-Part,3-Condition,4-String,5-Action,6-Mailbox.
(the numbers refer to column numbers)
For the second row, the entries were
1-Travel,2-From,3-contains,4-Vacations For All,
5-Move,6-Travel.

I copied it (from a MS Word document) and pasted it into my previous
answer to you. When it got processed and posted, the matrix disappeared and
all you saw were the cell entries, each on a separate line of the response.

So, translating the jibberish that went to you, the column names and second row
looked something like (ignore the dots; they're just to keep the
columns lined up)"

Name.|.Part...|.Condition.|-String..................|.Action.|.Mailbox.|
Travel,|,From,|,contains..,|,Vacations.For.All.|.Move..|.Travel...|

I'll see if I can reconstruct the matrix (it was 10 lines) and find a
way to present it,
maybe a fixed pitch font.

No problem. I figured as much. In the future you might want to consider
making an actual spreadsheet in Excel/Numbers/whatever, and then sending
the spreadsheet in an email (or posting a link to it in Dropbox or
whatever).

This is about the best I can do in providing a 2D matrix (5 columns)
that shows the parts of rules I would be interested in. Clearly rules
are much more sophisticated than my limited use of them. But they
still serve me quite well.

Okay, that's a spreadsheet containing only the conditions for one single
rule. What about all the other properties the script is already
outputting? Where do they go? Also, what about the other rules with
different conditions? If you have, say, twelve rules, each with a
completely different number and type of conditions, how will you present
that in a single spreadsheet? Or were you perhaps thinking that each
rule would have its own spreadsheet? Either way, you need to define it
before coding it. If you really want to understand the problem, do this
exercise: make a new spreadsheet to hold your rules, add a column for
each and every rule property you want to track, and then manually fill
it in with a couple different rules with a different set of conditions
for each rule. If you can show me what you want, I'll be happy to modify
the script accordingly for you. : )

I had some time to think about this tonight and came up with one
potential solution. The modified script outputs one "All Rules" master
list containing a list of all rules and their properties except the
conditions. Then for each rule, the script creates another "Rule n
Conditions" file - one for each rule, containing a list of all
conditions for a given rule. So you end up with something like this:

All Rules.csv
Rule 1 Conditions.csv
Rule 2 Conditions.csv
Rule 3 Conditions.csv
Rule 4 Conditions.csv
Rule 5 Conditions.csv
...and so on

Enjoy. : )

I do not take advantage of all the features of rules. However, one feature I
use extensively is saying "if ANY of the following conditions apply"; you will
see that technique implemented in my "spreadsheet" by giving a number of
rules the same column 1 Description. Thus, for example, Rule "IBM" says

if any of the following apply
   From contains ibm
   From contains ibmpension
then move message to mailbox IBM.

I'm afraid I cannot address the rest of your excellent question, because it
assumes a level of usage I just don't perform.

BTW, I don't personally need you to do anything further with the script;
I used it and was able to sort the output in such a way as to be able to
modify all my rules efficiently; i.e., it already covered everything I used
rules for.

Actually, you *do* use conditions, which were absent from the output. I
guess I'm not explaining clearly enough. The problem I outlined is that
there's no clear way to show all rule properties *including* conditions
in a *single* spreadsheet.

The next best thing is a set of spreadsheets. I spent about 45 minutes
revising the script so that it outputs conditions for each rule. Give it
a spin and you'll see what I mean:

Too late! : D
