Despite using it faithfully for a number of years I've recently lost faith with Yojimbo as it doesn't fully meet my needs and, although it's being actively developed, I suspect it never will. I find these so-called 'everything buckets' that archive files that may be needed in the future and take them away from the daily operating system environment to be quite valuable. I use DEVONthink to organise material for research purposes, where it excels, but I don't think simple archiving of files is where it shines. The features I'm looking for are: 1. The ability to easily archive files, primarily PDFs and images, into a 'database' that hides them from spotlight and the OS. That excludes Eaglefiler. 2. The ability to easily extract file from that archive in their original form. From all I've heard this means Evernote isn't an option. 3. Multiple databases for different areas. This excludes the present version of Yojimbo. 4. The ability to search within files and to tag/keyword them. 5. Actively developed - not necessarily new features, just support for the evolving OS. Any thoughts? -- Cheers, Steve

Hi Steve, On 2014-08-01 16:46:23 +0000, Steve Hodgson said: > Any thoughts? the program you need is called Mac OS. It contains everything you need: Finder: organize your files on an external drive (external to keep it away from Spotlight if you tell Spotlight to not index that drive). You may tag them and add smart views with your tags. I don't know if the Finder can handle tags without Spotlight, though. Why you want to keep Spotlight off your archive is not clear to me, though. Terminal: use "grep -l[i][R] "<text>" <file-base>" to search inside your files. Ok, this is not exactly a GUI but it's fast! -- cul8er Paul paul.foerster@gmx.net

I've tried all the available apps over the years and now I just use Evernote with a Premium subscription. The advantage of that is it's mirrored across all computers and iThings. Files are availabele offline. I can extract the file in it's original form. I can block Spotlight which isn't required anyway as the Evernote search is fast enough. Tags work. Sub folders work. If you don't want Evernote, Together will do what you want with the database saved anywhere you like, I put it on Dropbox.

So you get listed items #1 through 5 above, but don't get the "where it shines" part. Can you describe it's unshiny aspects?

Can you describe it's unshiny aspects? DEVONthink really excels at searching through a database and pulling together a set of possibly related items. When one is looking for one item quickly that can just get in the way. -- Cheers, Steve

I have a number of databases that house sheet music. I type a title. I get one item. I type a more generalized title, say "Love", and logically get many items. > When one is looking for one item quickly that can just get in the way. I think you said you use DT, I do too. I use it all day long everyday of the week, and for a lot more than true database searches (as indicated above). I'm not sure what's keeping you from finding the one item quickly in DT, nor how some other system, using the same "find this" criteria (whatever that might be), would be problematic. If you could explain your situation, perhaps a more suitable app could be identified, or possibly a more suitable use of an existing app, in this case DT, could be addressed. I've used a lot of databases over the past 30 years, on many platforms both professionally and personally. Of those that still exist, I find DT and Panorama to hold the greatest range of solutions to problems. Just my experience.
