The mysteries of FileMaker continue to elude me. Here's my latest.

In one of my databases, I have a table that has four records. When
I try to print a layout for this table, I get only two records. I get
four in browse mode, two in preview mode. Show All Records changes
nothing.

The only thing that is at all non-standard about this table, in my
opinion, is that it is entirely populated by a script. That is,
executing this script first deletes all records and then creates
records, resulting in the four that I mentioned above.

Any suggestions? I'm still using FMP8 on a G4. This is the latest
version for that hardware/system combination, I think.

                        Charlie

The problem might be that records 3 and 4 don't fit on the first page,
but your print dialog settings are specifying that only page 1 is to be
printed.

When you use Preview mode, does it show more than one page of output? If
there is more than one page and you haven't done something in your
script to allow FileMaker to discover the last page, the page count will
show as a question mark, and clicking the "go to next page" button or
pressing Control-Down Arrow will show you the second page.

On that last point, you can run later versions of FileMaker Pro on a Mac
with a G4 processor. The maximum FileMaker version you can run depends
on the Mac OS X version you are running:

FileMaker Pro 8.5 requires Mac OS X 10.3.9 or later.
FileMaker Pro 9.0 requires Mac OS X 10.4.8 or later.
FileMaker Pro 10.0 requires Mac OS X 10.4.11 or later.
FileMaker Pro 11.0 requires Mac OS X 10.5.7 or later.

You can't run FileMaker Pro 12.0 (or later) on a Mac with a PowerPC
processor, because it no longer contains PowerPC executable code, and
version 12 requires Mac OS X 10.6 or later, which is Intel-only.

You may have been confused by the detail that FileMaker Pro 8.5 was a
"Universal" application, i.e. it was the first version which had both
PowerPC and Intel code, allowing it to run natively on both processor
families.

(The file format is the same for versions 7 through 11 but changed with
version 12.)

As usual, when I go to preview mode the page count shows as "?".
When I click on the right arrow, the page count and the page number go
to 2. There are no more pages.

I have actually printed the layout. I get two sheets of paper in my
hand, each sheet having data from one record, the second sheet having
the trailing grand summary data. In browse mode, however, there are four
records, as there should be.

Thanks for this information and the other information above as
well. I'll check to see if I can still get FMP10. My Pogue book is for
FMP8 and I'm not sure I want to lay out money for another edition of
that, this edition being so bad.

Not from FileMaker, Inc. They may still supply version 11 on request
(for a small fee after buying a the latest version and downgrading to an
earlier licence) but that option will probably expire soon if it hasn't
already, leaving only 12 available via that method.

You'd probably have to find an upgrade or new licence of Pro 10 via an
aftermarket source.

Note that Pro 10 changed the layout: the toolbar moved from the side to
the top. Versions 8.5 and 9.0 are much closer to what you are used to
with version 8.

Does the Layout have a Body part? If it just has Summary and
Sub-summary parts then it won't show data from all records, just
summarise them. It also may not summarise correctly / as expected if
the records are not Sorted appropriately.

As David said, multiple pages might also be a cause. Maybe one of the
Layout parts is set to perform a page break. Badly set margins or
strange page setup sizes may also cause data to go to the next page or
missing off the edge.

Is the Layout using the fields you think it is. It can be easy to
mistakenly use fields via a Relationship rather then directly, for
example.

The layout has header, body, and trailing grand summary parts only.

It did have "badly set" margins, the FMP defaults that have minimum
margins on all four side. I've changed that to something more
reasonable. The problem persists.

I don't know how to force a page break. I'm pretty sure that no
part is doing it.

This is a flat table. No relationships are involved.

For what it's worth, the two records I see are the first and second
in order of creation. The records are sorted for purposes of this table
and those records are the first and fourth in sort order.

Thanks for your help again, Harry.

The numbers in the tool bar on the left side stand for
- records in browse mode
- pages in preview mode

Maybe the four records fit on two pages?

No. As I said in a response to David Empson, I have actually
printed the report, getting two physical sheets of paper with only data
from two records.

     Thanks for your help.

Here's some more bizarre behaviour that might shed some light, but
I don't see how.

Grasping at straws, I took out the sort command that is the
next-to-last step of the script, the last being the switch to preview
mode. Now I get only one record in preview mode; still four in browse
mode. After noting that interesting piece of information, I put the sort
command back in. I still get only one record in preview mode now. (Still
four in browse mode.)

Assuming it is an identical sort, that is bizarre and is sounding like a
bug.

I'd be looking at something in the realm of sliding/printing, the part
definition for the body, object placement relative to part edges and
page boundaries, etc.

Is it feasible to share this database (perhaps with sanitised data) so
that others might be able to try it?

I don't have FileMaker Pro 8 (almost the only version I never bought
after 3) but I have version 11 installed and could reinstall 8.5, 9 or
10 to see if they behave differently.

I have a cut-down version of this database that is showing the same
behavior. I'm willing to share it. How do I do that?

I'm almost afraid to share this database. I'm sure that when all is
said and done I will either have made a silly error or I have a
fundamental misconception.

How large is the database file, after compressing it into a zip file?

If it is smaller than about 5 MB it should be feasible to email it to
people on request (some people may be able to handle a somewhat larger
attachment).

Another option would be to use a site such as www.dropbox.com, which
offers a free account with 2 GB of private storage. You can use Dropbox
via a web browser without having to install the client software. After
creating an account you can upload your file then generate a link to it,
through which others can download a copy of the file to play with.

There are many other sites which specialise in short-term file sharing,
if you don't want to use Dropbox for some reason.

If you would prefer not to share a link publically, but only on request,
then consider this a request - you are welcome to email the link to me.
I should have time to have a quick look at the database in the next few
days.

If so it will be a good learning exercise.

     It's 76K.

I took a look at dropbox.com, thinking that putting the file there
would be the easiest all around. They require me to agree to their terms
without giving me any opportunity to read those terms. Like most people,
I ignore the terms of use that come with most software, but I'm not at
all comfortable in agreeing to something completely blind.

Everyone makes "silly errors" or overlooks the obvious from time to

Has the file (or filemaker) crashed anywhere along the line? If you have
ever opended the fle after a crash you probably will find a *.log file
in the same directory as the filemaker file. If the file might have
crashed I would advise you to rebuild it or fall back on a undamaged
backup. You do make regular backups? A recovered file is never meant to
be used again. It is just a means to recover your data.

My thanks to all who so graciously offered to help, to David Empson
in particular who found the cause of the problem. In the layout I had
the single line of fields that I thought were in the body one pixel into
the header part which, in FileMaker, puts the fields entirely into the
header. In other, my report consisted of a header, and empty body, and a
trailing grand summary.

That's exactly what I was seeing at the end, when the report was
showing a single page: A header made of the fields from the first record
of the table and the trailing grand summary. I don't understand why I
was getting two pages at one time, the second page with a header made up
of fields from the second record of the table. I'm mulling that over.

Does anyone know why FileMaker chooses to fill the header with
fields from the first record? Is it by design? If it's by design, what
is the rationale? Or is it just by accident; that's the way the code
just happens to work?

I'm glad I was able to help. Now that I spotted it, I should have
thought of it earlier, as I've been bitten by similar issues before.

Yes, it is by design, and is documented in the FileMaker Pro user guide,
in the section on creating and manging layouts and reports. This also
mentions the fact that fields and other objects are regarded as being in
the layout part which their top edge touches.

> If it's by design, what is the rationale? Or is it just by accident;

The content of header and footer parts are generated once per page.

If they contain normal fields (as opposed to summary fiels or globals),
the values in those fields are always taken from the first or last
record which appears on that page.

A typical case where you want to do this is a report which is sorted by
a particular field, and a page break is forced whenever that field
changes. You could then include that field in the header or footer and
it would show the value which applies to all records on that page.

Similar rules apply to record fields in the other non-body layout parts
(title header, title footer, leading or trailing grand summary or
subsummary).

Rats! I was actually going to post the other day to check the fields
aren't "too high", but I thought someone else already had. Oh well, at
least it's working now. :o)

The same happens if fields are "too high" within a Portal Row, although
usually the first related record's data is replicated on every line of
the Portal.

It's the same basic operation in Relationships too. If a calculation
accesses a field via a Relationship, only the data from the first
related record is used (the exception being aggregation-type functions
like Sum, Average, etc.)

What is this FileMaker Pro user guide of which you write? I got
really minimal documentation with my FMP8. Because of that, I laid out
close to $40 for the Pogue book, which I'm not very satisfied with.

There was a printed user guide up to FileMaker Pro 7 and possibly in a
few subsequent versions, but it was gone by FileMaker Pro 11. (I have
boxes handy for versions 6, 7 and 11, but not the other ones I own, and
I haven't seen version 8.)

The user guide is included as part of the electronic (PDF) documentation
for all versions I have installed (11 and later), and I've confirmed it
was in version 6, so it is almost certainly in version 8.

In version 6 (Mac), the path to the documentation is

/Applications/FileMaker Pro 6 Folder/Electronic Documentation/

In version 11 (Mac), the path to the documentation is

/Applications/FileMaker Pro 11/English Extras/Electronic Documentation/

For version 11, the user's guide is "fmp11_users_guide.pdf". Chapter 3
of that is "Creating Databases", and the relevant subsection is "Working
with parts on a layout", starting on page 90 in that version.
